Insurance Benefits

Should a client choose to submit for reimbursement or use in network insurance benefits a diagnosis MUST be given and shared with their insurance company. Insurance companies could request other treatment information as well.

Why would I choose not to use my insurance?

  • Some clients may be seeking therapy do not want to have a healthcare record that includes that care was received for mental health treatment. Many of these fears come from the stigma a times around mental health treatment. I encourage clients to remember a diagnosis code is used when they go to their primary care physician for a cold. Needing some extra support for your mental health is really no different! However, please do what YOU are comfortable with.

  • If you are using your in network insurance benefits treatment information could be requested by your insurance company typically for customary audits. These audits are a quality assurance measure to insure providers are providing good care vs. looking to snoop into your personal life. Records contain medically necessary information. Trust me, they don’t read like a gossip column!

In Network Insurances:

To better allocate time to therapy-based services, my practice outsources most of its insurance billing and administrative work to Headway, an online billing service provider. Once entered into the Headway system, clients will communicate directly with Headway for all of their billing and payments. The following insurances are accepted through Headway:

  • Aetna

  • United Healthcare

  • Oxford

  • Oscar Health

  • Excellus BCBS: Clients with Excellus BCBS will be billed through my practice directly. At this time Headway does not participate with Excellus BCBS. All co-pays and other payments will be due/collected at the time of service.

Out of Network Insurances:

If you do not have one of the in network insurances listed above and would like to work together there are options! (Examples: Cigna, MVP, Fidelis) Many insurance companies will reimburse clients for a significant portion of fees for sessions Please contact your insurance company and ask them for your "out of network benefits" to determine your reimbursement rate for therapy. I can provide a detailed invoice to submit to your insurance company for potential reimbursement.

Health Savings & Flex Spending Accounts may be utilized to pay for services for both in network and out of network care

GOOD FAITH ESTIMATES AND THE “NO SURPRISES ACT”

  • The “No Surprises Act” was implemented to protect patients from unexpected medical costs resulting from receiving out-of-network emergency medical care. As of January 1, 2022, mental health providers are included in the list of providers required to provide “Good Faith Estimates” (GFE) to all current, new and prospective self-pay clients.

Self pay clients are those individuals who: 1) do not have benefits for an item or service under a group health plan, group or individual health insurance coverage offered by a health insurance issuer, federal healthcare program, or a health benefits plan; or (2) choose not to use his or her coverage benefit for the item or service.

If you are using out of network benefits or are paying privately a fee/service schedule as well as a sample of what to expect in terms of cost/month. This is an estimate and used for general planning purposes only. Each client’s treatment is unique. To  learn  more  visit  www.cms.gov/nosurprises  or  call  HHS  at  (800)  368-1019. Your  estimate  is  not  a  contract.  You  are  not  obligated  to  receive  services  from  Mary Van Voorhis, LCSW-R and can request a referral at any time.
